Hi everyone. Our company is currently debating whether we should outsource UI/UX design for one of our upcoming products. We’re a relatively small team, and while our developers are very good technically, we don’t have a dedicated product designer yet. Because of that, management is considering hiring an external design agency to handle the interface and user experience. However, I’m a bit cautious because I’ve heard quite a few stories where outsourced design work looked great in presentations but later turned out to be difficult to implement or not fully aligned with the product’s real needs. Some colleagues say outsourcing can actually speed things up, while others claim it sometimes creates communication gaps between designers and developers. For those who have already worked with outsourced UI/UX teams, what should companies pay attention to before starting such collaboration? Are there common mistakes that teams make when working with external designers?

That’s a really good question, and honestly it’s something many teams underestimate at the beginning. Outsourcing UI/UX design can definitely be beneficial, especially for startups or companies that don’t yet have a full in-house design team. But the success of this approach depends heavily on how the collaboration is organized.
One mistake I’ve seen several times is when companies treat the external design team as a completely separate service provider instead of integrating them into the product process. When designers don’t communicate directly with developers or product managers, they often miss important technical details or user requirements. That’s when you end up with beautiful prototypes that don’t translate well into real products.
Another challenge is unclear expectations.
